Privacy Policy

ChatOnTime (chatontime.com) is live chat software made by Workaholic Developers, a software company in India (“we”, “us”). This policy explains what we collect, why we collect it and the choices you have. It covers two groups of people: customers, the businesses that sign up and add the chat widget to their websites, and visitors, the people who chat on those websites.
1. Our role
- For customer accounts, we decide how the data is used.
- For visitor data collected through a customer’s chat widget, we act on the customer’s behalf and follow their instructions. The website owner decides what to collect and is responsible for telling their visitors about the chat. If you are a visitor with a question about your data, please contact the website you chatted on first. We will help them respond.
2. What we collect
From customers
- Account details: name, email address and password (stored only as a secure hash), plus your workspace name and settings.
- Billing: your plan and subscription status. Card payments are handled by Stripe; we never see or store your full card number.
- Connected channels: if you connect WhatsApp, Facebook Messenger or an email inbox, the access details for it, stored encrypted.
- Content you add: saved replies, chatbot flows, knowledge-base articles, notes and tags.
- Sign-in records: the IP address and browser of each session, used to keep your account secure.
- Account requests: if you ask for an account, your name, email address, company, website and message, used only to review your request and reply to you.
From website visitors, through the chat widget
- Technical details: IP address, browser, operating system and device type, and the pages viewed on that website (address, page title, the referring page and time on page).
- What the visitor provides: chat messages, files they send, ratings and comments, and their name, email address or phone number if they share them or the website passes them to the widget.
- On the visitor’s own device, the widget keeps a session identifier and recent messages in the browser’s local storage, so a conversation carries on from page to page. ChatOnTime does not set advertising cookies.
3. How we use it
- To run the service: deliver messages, show conversations to the customer’s team, and send notifications and reports.
- For AI features, when a customer turns them on: conversation text and the customer’s knowledge-base content are sent to OpenAI to draft replies and summaries. Customers can leave AI features off.
- For billing, support, security, preventing abuse and fixing problems.
We do not sell personal data, and we do not use visitors’ conversations for advertising.
4. Who processes it for us
- OVHcloud: our servers and file storage, located in Canada.
- OpenAI: AI replies and summaries, only when AI features are used.
- Stripe: payments.
- Meta (WhatsApp and Messenger) and email providers: only for channels a customer chooses to connect.
We may also disclose data when the law requires it, or to protect the safety of people or the service.
5. Where it is stored
Our servers and file storage are in Canada. Our team, in India and Canada, may access data to provide support. OpenAI and Stripe may process data in the United States and other countries, under their own safeguards.
6. How long we keep it
- Files sent in chat are deleted automatically 30 days after they are uploaded.
- Conversations, visitor records and account data are kept while the customer’s account is active. When an account is closed, we delete its data within 90 days, unless the law requires us to keep something longer.
- Billing records are kept for as long as tax law requires.
7. Security
Passwords are stored as secure hashes, channel and email credentials are encrypted, and all traffic uses HTTPS. No system is perfectly secure. If a breach affects your data, we will tell affected customers promptly.
8. Your choices and rights
- Customers can view and update their details in Settings. To export or delete your account and its data, email us.
- Visitors can ask the website they chatted on to access, correct or delete their data, or email us and we will help.
- Depending on where you live, laws such as India’s Digital Personal Data Protection Act, the GDPR in the EU and UK, or Canada’s PIPEDA may give you the right to access, correct or delete your data, or to object to how it is used. Email us and we will reply within 30 days.
9. Children
ChatOnTime is a tool for businesses and is not meant for children.
10. Changes
When we change this policy we will post the new version here and update the date at the top. If a change is significant, we will also email customers.
